Procedural Changes When Using Sabre GDS
The integration with Sabre GDS means reservations are being pushed to hotels in real time. This means how you use the MMX application may change because reservations are no longer in a 'in between state' (corralled in Meetingmax between when it's made and when the hotel sees the reservation at their property). When reservations are being sync'd with GDS, the following things should be considered;
- Unable to reset reservations to 'New' once a reservation has been sync'd.
- Credit cards are required on all reservations syncing.
- 'Rooms Allowed per Reservation' cannot exceed 9 rooms. You will be prompted to change this to 9 or less when GDS sync is enabled.
- Acknowledgment emails will still send, shortly followed by a confirmation email. Surpressing the Acknowledgment email is recommended.
- Cut-Off Dates are more crucial than ever as reservation CANNOT be synced after a cut-off date.
- It is recommended to sync reservations in real-time, meaning changes would need to be processed by the hotel through the MMX application (during Phase 1)
- Reservations being 'held until cut-off' can be synced in bulk, however it is suggested that this take place at least 5-business days prior to the actual cut-off.
- All reservation types will be sync'd when the integration is enabled (Front-End, Back-End, Rooming Lists, Waitlist>New, and Clones) Admin reservations will continue to sync even if the event is disabled.
- There is a notification for any reservation that fails to sync.
- Guest names including "TBD" or obvious placeholders can be flagged by the hotel's internal system and may be cancelled without a notification to/from MMX.
- Children on a MMX reservation will display through GDS as a guest (not specified as a child).
- Name Change Feature is not recommended for use while syncing with GDS.
- Private Note to Hotel, Special Request, ADA, are all passed to the hotel.
- The GDS Sync can be enabled at the Event Hotel level, meaning you can have a combination of sync'd and non-sync'd hotels for each event.
