How to create room/hotel Accessibility (ADA) for your customers

Please see below some ways you can incorporate accessible room requests into your system, making the process of customers with special room requirements easy for your customers and team. Set up a sub-block request which customers can select and then outline their needs and preferences.

Setting up the Sub-block Request

  1.  From [The Basics] tab in your Event, scroll down to ‘Sub-block Request’.

  2. Check ‘Enable Sub-block Request Mode’.

  1.  A URL will automatically appear based on your site name + event name and finish with ‘&sbr’ (sbr = Sub-block Request).

  2.  Depending on your preferences you can change the 2 dropdowns, these will outline; how many booking preferences a customer can submit and how many rooms they can request for one booking. We suggest allowing at least 3 booking preferences in case some hotels are unable to meet the customers accessibility requirements.

  3. To then be able to better understand your customers needs, select [Add Question] into the Sub-block Request. E.g. What room/hotel accessibility requirements are needed?

  4. Please see below how the Sub-block request will show. The URL link that appeared can then be linked to the front end using either (or both) of the below processes  to allow customers to easily access and submit requirements and preferences.


Link to the Sub-block Request during the booking summary in the ‘Guest Details Message’, added as a simple link.

  1. From the [Communication] tab in your Event, scroll down to ‘Front End Messaging’.

  2. Expand [Guest Details Message], here you can add some text, linking a portion of it to the Sub-block Requests URL, to identify to customers where to click if they are looking to request a room that meets their special requirements.

  1. This will then appear at the ‘Complete your Booking’ page once the customer has selected dates, hotel and room. The messaging will appear above the ‘Review’ button. (highlighted below with a yellow box).


Vertical Banner

Employ a vertical banner that attendees can click on to request an accessible room. Using the steps performed  to create a link to sub-block requests, customers will be diverted to and be able to choose their preferences of hotels and dates, also outlining their room/hotel requirements.

  1. From the [Communication] tab in your Event, scroll down to ‘Event Branding’.

  2. Expand [Vertical Banner], here you can add the image you would like to display in the Vertical Banner, to identify to customers where to click if they are looking to request a room that meets their special requirements. In the ‘URL Link’ field, paste the Sub-block Requests URL you created.


      

            3. Select [Save]. Please note, if the file and image do not show below the black line in the ‘Vertical Banner’ section, it did not save and will not appear to the customer. Ensure there are no issues with the file type or size.



            4. The image will appear as a clickable banner on the reservations page.
