What is the Wait-list Feature in Meetingmax?

The Wait-list feature in Meetingmax allows attendees to request a spot in a fully booked room block. When enabled, this feature ensures that guests who were unable to secure a reservation immediately are placed in a queue for a room if one becomes available.

InfoNote: The Wait-list feature applies to the entire reservation, not individual nights. If a guest selects multiple nights and only some have availability, their request will be placed on the Wait-list until all selected nights become available.

How Does the Wait-list Feature Work?

  1. Enable the Wait-list feature per event by navigating to Event > Event Hotel > The Basics > Inventory Options and checking the box 'Allow wait-lists'.
  2. On the Inventory page, the number of Wait-list rooms available needs to be specified. If left at the default setting (0), the Wait-list option will not be visible to guests when inventory is full.

  1. If an attendee attempts to book a room in a fully reserved block, they will see an option to [Join Wait-list], if slots are available.
  2. When a room becomes available, the MCP can approve a Wait-listed reservation, moving them into an official reservation.
  3. During the Acceptance process, an email is automatically sent to the guest outlining their reservation details. Custom text can be added to notify them that they have been moved from the Wait-list.

The Wait-list feature is a powerful tool for managing high-demand events, ensuring a smooth booking process while giving attendees peace of mind that they may still secure a spot.
