** The most important piece of information about the wait list functionality is that it is NOT wait list by night. This means the entire room reservation needs to be wait list status, not a combination of statuses.
For example, if you are working with 5 nights of inventory, and the middle night becomes sold and you want to turn on wait list, anyone booking would have to book a reservation for nights 1 and 2, a separate room reservation for night 3 (on wait list), and a third room reservation for nights 4, and 5.
Wait list function is a site level feature that must be turned on through MAX.
Once enabled, you can turn on wait list at the event hotel level. Under Inventory Options, you will see "enable wait list".
Once enabled, you will see new fields within the inventory table of every room type associated to that event hotel;
You can add wait list capacity for each night, that will allow that many "spots" on each particular date.
When no public rooms are available for that room type, the reservation process will show, "Only Wait-list reservation available for specified dates.";
**Even if there are nights within the range of dates selected that are available, as soon as at least ONE night is not available, but available on wait list, the entire room reservation will become wait list status.
The system will prompt the guest that the room they have added to their reservation contains wait list nights, NOT guaranteeing a room for them at this time;
Once reservations are created under Wait list status, you can "Accept Wait list Reservation" which will move it to a New status reservation, which makes it like any normally booked New status reservation, noting that inventory must become available in order to Accept the wait list reservation (can use available inventory, held inventory, or oversell inventory if applicable).
The MCP user has the ability to turn on wait list inventory, but disable it from the front end by checking "close front end wait list";
This will allow the back end users to create wait list reservations but not allow guests to book on the wait list through the front end.
