How can my hoteliers receive new reservation and change request notifications?

You can set up your event hotels to receive an email notification as new reservations and change requests come in for processing. To do so, head to the event hotel profile and find the Hotel Notifications heading. The following toggles control notifications for new reservations, change requests submitted for accepted reservations, and for cancellations of "new" status reservations - the last of which is mainly for clients who don't work with confirmation numbers and "Accepted" reservations. 



For new reservations, you can use the drop-down menu to choose between sending the notifications "per occurrence", meaning each time a new reservation comes in, or "once per day", which will send a single email notification to the hotel at midnight, totalling the number of new reservations ready for processing.

When enabled, change request notifications will be sent to hoteliers each time a new request is submitted for an accepted reservation. Change request notifications will not send to hoteliers for new reservations unless it is post-cut-off and the system is no longer checking for inventory.



The change request notification email is due for a face-lift. Keep an eye on the release notes for an update that will bring big changes to this email!

Emails not working?

If you find that your hoteliers are not receiving the notifications properly, and their corresponding event hotel does have notifications enabled, ensure the email address that's listed in the hotel profile is accurate. Also bear in mind the email address you add to an HCP account is not the same email address that's used to send hotel notifications; only the hotel profile's email addresses are used for notifications.



If the correct address is listed in this field and the notifications are enabled, it's possible there's an issue with the listed email address, such as an invalid mailbox or a firewall filter. Reach out to help@meetingmax.cc and we'll help get it sorted!
