How can I refund my attendees when they cancel their reservations?

When an attendee's room is cancelled, a refund for the amount they have paid can be automatically refunded to them, right from within the system!

If the attendee is cancelling their room themselves through the change request portal, the refund will be automatic. Automatic refunds can be prevented by disabling your payment gateway, but bear in mind this would disable any charges you have set up for the front-end as well. Or via a site setting, which would prevent refunds for all events on your site, please contact your CSM to discuss enabling 'prevent refunds'. These automatic refunds will also take into account any late cancellation fees you've set up for your events, penalizing your attendees accordingly and deducting the configured amount from their refund. Please note; late cancellation fees will only apply to 'Accepted' status reservations.

When cancelling in the back-end however, it's a bit of a different story. By default, the refund will be processed once the cancellation is finalized, but MCP users are given the opportunity to either suppress the refund completely, or enter a penalty to adjust how much should be returned to the attendee.




Once the cancellation is finalized, you can verify that the refund has gone through by reviewing the reservation details page for the booking. Under Amount Paid, you'll see the amount that has been refunded You can also check under the Transactions tab for the refund, verifying that it has gone through the payment gateway. 



Please note: the refunds (when Payment Gateway is enabled) will only apply to rooms where all room nights for the room are cancelled. An automatic refund will not apply for reduction of stay and if a refund is required will need to be processed manually through your Payment Gateway.
